These are some hints that will help explain some of the features in DeskTools.
Telephone Lists:
----------------
• Use this one to maintain your list of telephones, addresses, and personal notes.
• There can be as many open telephone lists as your memory
allows.
• Double click on an item on the scrollable list to display
the data.
• The name and lastname fields need to be filled to add the
item to the list.
• On the scrollable list one can type a letter and the list will scroll to the first name with that letter.
• To edit an existing item do the following:
• Double click the item to display the data
• Make the desired changes
• Click the add button to add the item again
• Answer yes to confirm the changes.
• The limitations on the fields are as follows:
• Name, Lastname and Company fields:
20 characters maximum.
• Home, Office and Fax phone numbers:
14 characters maximum
• Address field: 200 characters
• Notes field: 300 characters
• Using the Preferences dialog the list can be seen in
different modes:
• Name Lastname
• Lastname Name
• Company Name L. (first initial lastname)
• Company Lastname N. (first initial name)
The list is sorted automatically on the first field.
The list can also be sorted from A to Z or from Z to A.
The preferences are local to each file. So, you can have
one list sorted as Name Lastname from Z to A, and another
sorted as Company Name L. from A to Z.
• Lists can be exported as text or as databases. When
exported as text it can be read by any editor. When you
want to use the list on another program export the list
as a database.
• Select the field on which the search will be performed. Type the text to be searched. Click on the Find button. If the search is successful a sublist with only the items containing the search text will show on the scrollable list. The button Show Entire List will be enabled. Click on it to go back to the full list, then the button changes to Show Partial List. Click on it to show the previously searched list. These sublists can be saved to a different file name or can simply be printed.
• Use Print Options before printing to select your font, size and style. Then print phone lists, labels, or envelopes.
Glossary Lists:
---------------
• Use this one to store information such as bibliography, diskette info, summaries of articles or news, etc.
• These lists could also be called card index files.
• There can be as many open glossary lists as your memory
allows.
• Double click on an item on the scrollable list to display
the data.
• The fields TITLE and the DATE must be non empty to add the
glossary to the list.
• The limitation on the fields is as follows:
• Title and source fields: 30 characters max.
• Glossary field: 2000 character maximum.
• Use the preference dialog to change the list in different
ways:
• Title Date
• Date Title
Lists are sorted on the first field.
Lists can also be sorted from A to Z and from Z to A.
One can also select not to display the date.
• Select the field on which the search will be performed. Type the text to be searched. Click on the Find button. If the search is successful a sublist with only the items containing the search text will show on the scrollable list. The button Show Entire List will be enabled. Reminder Lists:
---------------
• This is your personal agenda. Keep track of meetings
todo lists, and calendars.
• There can be only one reminder list open at any time.
• Double click on an item on the scrollable list to display
the data.
• The field reminder must be non empty to add the
reminder to the list.
• The reminder field has a limitation of 300 characters.
• Use the preference dialog to display or hide the time on the
listed items.
• The date, time and day of the week are not editable. It is updated when the Set Date & Time button is clicked.
• Select the mode to view the list using the popup menu. The
list and the calendar change accordingly.
• An item with an alarm set will show a double bullet (••). After the alarm goes off the bullets disappear.
• Use Print Options before printing to select your font, size and style. Then print glossaries and diskettes labels.
Miscellaneous Points:
---------------------
• This software should run on any Mac (Plus and above) using
system 6.0 or higher. It understand the basic four Apple
events and it is 32 bit clean.
Balloon help exists for all menu items as well as
for all windows and dialog items.
• Telephone and glossary lists can be imported. Follow the
instructions in the dialog window. The most important point
to remember is to include for each record all the fields
separated with an specific separator (same for all fields)
and separate the records with a different separator (same
for all records).
• The window menu allows control of the windows.
All windows can be hidden. All windows can be closed at
once. If changes have been made, the user is given the
chance to save before closing.
All opened window's names are displayed in this menu.
The calendar and the TODO list windows if opened they will
remain open.
• The TRANSFER menu item in the file menu allows to open
another application while still being in DeskTools. This
only works under Multifinder.
• The text documents have a limit (a la TeachText) of 32K per
document.
